Session Two: Assignment One Question

Answer the following questions after viewing the video:

1. Which departments within the company are integrated within the Order-to-Delivery process ?
2. Which steps are included in the Order-to-Delivery process ?
3. What factors would you consider when deciding whether ERP is suitable or not for a small business ?

Answer:

1. In OEC Computer, the whole company is using this SAP Business One system. Its Sales Dept and Shipping Dept are integrated with the Order-to-Delivery process, because once the customers place an order to the sales person or customer service, they can know how many stocks are available to sell immediately, then the Shipping Dept can response with correspondence reaction to cooperate the sale order.

2. First of all, the system will calls up the buyer's information, it shows all the details of that buyer such as purchase records, credit and contact information. So they know which model of the goods that the buyer is looking for. Then the system will check whether the goods are available in the inventory then followed with a sales order. Once the sales order confirmed by the sales person. The data/information will be send to the warehouse immediately, so the staffs in warehouse can start packing and use the system to print out the record. After that, the quantity of the goods will be deduct based on the order amount and the inventory date will be updated for next order use.

3. I would consider a company which own a factory to use the ERP systems, it can help the company to manage all processes from productions to inventory controls. So I believe even a small business, as long as they have their own factory, I would suggest they get themselves an ERP. It can have better control on the work flows, so it reduce the probability to have any mistakes.

  1. Another reason for getting an ERP package is to integrate multiple locations in a company. As you mentioned, many companies have factories somewhere else and a sales office/head office in another location. ERP can coordinate the work processes and speed up the information sharing between these two locations.
